Director of Operations

We seek a seasoned operations professional with food service warehousing experience to provide leadership and accountability for the operations department and oversee inventory, logistics, and warehouse operations. As a member of the Food Bank executive leadership team, the Director of Operations regularly collaborates with the Chief Executive Officer and other leaders on strategic priorities and initiatives.

The ideal candidate has supply chain management training, is Green Belt/Six Sigma certified, and has experience working in a food distribution workplace setting. The person we hire must have supervisory experience and be as comfortable on the floor as behind the desk. Primary/Essential Duties and Responsibilities

Warehouse/Inventory Operations:

  • Develop and oversee systems and procedures for receiving, distributing, transferring, storing, and processing inventory.
  • Manage and ensure inventory accuracy and availability, including inventory cycle and full physical inventory counts in accordance with the inventory management standard operating procedures (SOP). Report results and findings of these counts to the CEO and support research, documentation, and reconciliation of discrepancies with orders and inventory counts.
  • Oversee accurate recording of products received and distributed to ensure effective inventory control and efficient food distribution with an eye toward continuous improvement.
  • Manage inventory database systems (Fishbowl and Meal Connect) including training, oversight of data entry, and regular review of data to ensure accuracy. Create detailed reports for adjustments, inventory operations, and stock levels, and provide data reports as requested by the CEO.
  • Effectively communicate with all departments to ensure a comprehensive understanding of all aspects of inventory movement (receiving, distribution, internal transfers, etc.)
  • Implement additional inventory control measures as necessary and appropriate.
  • Oversee the efficient receipt, storage, order fulfillment, and distribution of food products while complying with Feeding America, USDA, FDA, and OSHA/MOSH safety and food storage regulations.
  • Oversee the development, implementation, and maintenance of a comprehensive safety program for employees and volunteers, including food safety and sanitation practices, to ensure a safe, healthy, productive, and accident-free work environment that meets and exceeds industry guidelines and local, state, and federal regulatory agency standards.
  • Assist the CEO with interpreting and communicating company policies and safety regulations.
  • Oversee policy development and implementation in lean operating techniques, cost reduction, and safety.
  • Actively support the warehouse manager in seeking solutions to production problems and ways to improve efficiencies.
  • Oversee the product recall process, mock recall planning, and the corresponding documentation.
  • Oversee facility maintenance activities, including preventative maintenance and repairs to the facility, equipment, and operating systems to ensure a safe and efficient operating environment.
  • Actively support the warehouse manager in identifying and creating necessary SOPs for warehouse management and facility maintenance.
  • Oversee sourcing to assure adequate and timely acquisition of donations and purchases.
  • Provide timely and accurate reports to the CEO and Board of Directors as required.
  • Other duties as assigned.

Logistics:

  • Oversee the management of a safe, efficient, and cost-effective transportation system (truck fleet), including budget management, annual DOT inspections, and necessary truck repairs.
  • Actively support the Logistics Manager to ensure optimized routes, on-time pickups/deliveries, driver assignment for Mobile Pantry Program distributions, completion of the weekly driver schedule, temperature logs, and pre/post trip inspection forms.
  • Actively support the Logistics Manager to ensure fleet readiness and efficiency.
  • Oversee Retail Recovery/Feeding America pick-up logistics at retail locations assigned to AACFB by Maryland Food Bank.
  • Ensure compliance with all applicable DOT, MDOT, and FMCSA driver and truck laws, regulations, and requirements.
  • Annually, ensure all drivers and trucks are correctly listed on AACFB insurance policies.
  • Ensure electronic copies of all current and active driver’s licenses and DOT medical certifications are retained in accordance with the organization’s documentation retention policy.
  • Monitors logistics/transportation costs, service agreements, and performance metrics to identify and resolve problems and achieve efficiencies.
  • Ensure the Logistics Manager retains folders that include all information on AACFB trucks, including titles, manuals, repair, and DOT inspection records.

Supervisory/Administrative:

  • Evaluate people, processes, and metrics for continuous improvements by leading personnel through routine goal-setting and evaluation processes, including feedback and coaching and, when necessary, course corrections, discipline, and termination.
  • Encourage open communication, empathy, and collaboration among team members to promote a positive work environment.
  • Conduct regular departmental and individual one-on-one check-ins, prioritizing staff members’ well-being and professional growth.
  • Responsible for ensuring that AACFB’s operations comply with all applicable legal and regulatory requirements, including compliance with government funding, grant requirements, Maryland Food Bank/Feeding America agreement obligations, and all other applicable laws, regulations, policies, requirements, and best practices.
  • Responsible for developing and implementing the goals and budget of the Operations Department, including an active ongoing review and analyses of activities and costs.
  • Participate in and create strategic plans with the CEO and other leadership team members that cover current activities and projected growth and development opportunities for the organization and enhance distribution, helping the Food Bank reach new audiences or increase efficiency.

Secondary/Non-Essential Duties and Responsibilities:

  • Serves as an AACFB Disaster Response Team member – works with the CEO and HR/Administrative Manager to coordinate AACFB’s response to local and national disasters.
  • Develop a tracking and reporting mechanism for the safety program and ensure AACFB’s strict adherence to the plan.
  • Develop metrics with managers to measure performance, control assets and related costs, optimize transportation equipment and associated maintenance, and evaluate resells.
  • Devise annual productivity improvement targets and other metrics.
  • Assist with mobile pantry distributions, fundraisers, and public relations as required.

Education and Experience

  • A bachelor’s degree in operations management, business, logistics, supply chain management, or a related field is preferred but will consider equivalent experience in related field in lieu of education.
  • 10+ years of related experience is required. This position also requires 5+ years of experience at a senior operational management level in distribution, warehouse, and inventory management.
  • At least 5 years of prior supervisory experience with a proven track record of effectively managing warehouse and distribution operations employees.
  • Green Belt/Six Sigma certification is highly desired.
  • Preference is given to applicants with a working operational food banking background.
  • Knowledge of USDA and general food safety requirements, auditing requirements, inspections, etc.
  • Experience managing safety and training in the workplace and understanding of OSHA/MOSH requirements.
  • Experience in a food distribution environment preferred.
  • Skilled in the operation of warehouse equipment, including a forklift, reach trucks, and pallet riders required.
  • Excellent proficiency with the Microsoft (MS) Office Suite of tools (Word, Excel, PowerPoint, Outlook, SharePoint, etc.) and other information technology.
  • Experience with Fishbowl software a plus.
  • Experience in data collection, analysis, and reporting.

Work Environment and Requirements

Due to the to the nature of warehouse operations, this role requires: 

  • The ability to stand for extended periods.
  • The ability to see details at close range (within a few feet of the observer). Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
  • Able to lift, carry, and move materials weighing 25-80 pounds with or without accommodation.
  • Walking, standing, climbing, squatting, bending, lifting, kneeling, stretching and reaching both below the waist and above the head are all required physical aspects of the job.
  • Must be capable of weighing and counting items and transferring those results into a computer database.
  • Must be capable of spending extended periods sitting at a desk while working on the computer; however, with the potential for frequent interruptions.
  • Must be able to periodically work in temperatures as low as -20 degrees in cold storage sites for short, safe periods of time. Employee will be going in and out of freezers and coolers with extreme variations in temperature. (Cold temperature gear will be provided when working in the freezer and cooler areas of the warehouse.)
  • Employee may be exposed to spoiled food and sharp objects due to working with damaged products.
  • Must be able to work in environments with variable noise levels, lighting conditions, and temperature variation and able to access all areas of the building without limitations.
  • Able to move, push, load, and unload pallets using a manual or electric pallet jack. There will be times when an electric jack will not suffice, and the employee must be able to use manual pallet jacks and, therefore, require the ability to push and pull pallets over 2,000 pounds.
  • Must be able to work around cleaning chemicals, such as chlorine and sanitizer.
  • Ability to hear, understand, and distinguish speech and/or other sounds (e.g., machinery alarms or other alarms) in moderate to loud work environments.
  • Work performed in the warehouse involves a significant amount of walking on concrete surfaces.
  • Entrance may be open, and working conditions during the summer can get hot and cold during the winter.
  • In instances of a locally declared (Anne Arundel County or City of Annapolis) emergency, AACFB is typically considered an essential service and emergency responder; any or all of its employees may be called in to perform regular or emergent duties to assist our Anne Arundel County neighbors.
  • ServSafe certification or equivalent food safety certification is required within two months of hire.
  • Must be able to pass a pre-employment criminal background check.

 

Employment Type, Compensation, Benefits, Work Hours

  • Exempt; Full-Time.
  • 8:00 a.m. – 4:00 p.m. Monday – Friday on-site with occasional evening and weekend hours (work-related activities).
  • Salary Range: $85,000 – $95,000 annually, pay commensurate with experience.

Temporary Warehouse Associate

We are currently seeking a Temporary Warehouse Associate to help in our warehouse during the busy holiday season. This position is very physical including the accurate building, stacking, and wrapping of network partner orders, sorting donated items, moving loaded pallets throughout the warehouse, assisting with maintaining a complete and accurate inventory, completing all necessary paperwork for distributions, and maintaining a clean and safe warehouse.

Primary/Essential Duties and Responsibilities

  • Build orders (consisting of about 50 – 80-pound boxes) correctly for agency orders.
  • Manually stack and wrap pallets safely and correctly.
  • Assist drivers with loading/unloading trucks.
  • Complete paperwork on received and/or distributed items by the vendor and according to AACFB guidelines.
  • Inspect and count and/or weigh products on orders being received and distributed to be sure the order matches the paperwork.
  • Maintain FIFO/FEFO with inventory, rotating pallets of stock as needed.
  • Perform inventory controls and keep quality standards high for audit.
  • Maintain a safe and sanitary warehouse with OSHA and USDA standards.
  • Handle product in a manner consistent with Food Safety procedures and follow company safety policies, and procedures at all times.
  • Move loaded pallets safely throughout the warehouse whether coming in from deliveries or going out for distribution.

Secondary/Non-Essential Duties and Responsibilities

  • Make sure end-of-day cleaning is completed.
  • Make sure all paperwork is complete and handed into the office before the end of the day.
  • Other duties as assigned.

Education and Experience

  • High School Diploma/GED required.
  • Experience in stock inventory procedures, FIFO, preferred.
  • Experience safely operating manual pallet jack, electric pallet jack, preferred.
  • Experience working in a team environment (e.g., cooperating with co-workers, joint problem-solving, etc.)
  • Criminal background check is required, and references/previous employment history will be validated.

Competencies

  • Ability to establish and maintain professional and positive work relationships with staff, volunteers, and visitors. 
  • Ability to perform accurate arithmetic calculations using basic addition, subtraction, multiplication, and division by hand or using a calculator.
  • Ability to use a computer and various software programs to track inventory, retrieve information, etc.
  • Ability to speak, read, and write at an 8th grade level.
  • Ability to visually inspect the contents of deliveries to ensure they are not damaged before accepting the delivery or calling it to the supervisor’s attention.
  • Ability to multi-task and prioritize tasks with minimal guidance.
  • Ability to focus on incoming and outgoing deliveries as well as inventory.
  • Ability to think on feet in rapidly changing environments.

The Communications Manager will help to build and manage Anne Arundel County Food Bank’s brand and all aspects of marketing communications to raise awareness of the organization and support fundraising efforts. This position works closely with the Director of Development and External Relations to implement dynamic, succinct, and consistent messaging across all communication channels and digital platforms; create and promote marketing and fundraising materials; and plan and execute awareness and education campaigns.
