Inventory Control Specialist

We are currently seeking a qualified professional to fill the newly created position of Inventory Control Specialist. Under the direction of the Warehouse and Inventory Manager, the Inventory Control Specialist is responsible for conducting regularly scheduled inventory counts, managing and improving inventory processes with a high degree of accuracy, and communicating significant inventory changes. This will be accomplished by using a scheduled cycle count process as well as inventory best practices for item tracking, storage, movement, and throughput accountability. This role requires inter-departmental collaboration, research into inventory variances and other discrepancies, and coordination of the annual physical inventory under the direction of the Warehouse and Inventory Manager. The Inventory Control Specialist is responsible for inventory data entry, as well as creating and providing reports to AACFB management as requested. This position also supports warehouse-related functions.

Primary/Essential Duties and Responsibilities

Inventory Control (50%):

  • Responsible for ensuring the right amount of product is always on hand through completion of inventory controls including receiving, warehouse inventory handling, (put-away, picks, and movements) item card setup, lot tracking, item transfers, physical inventory, and item journals utilizing the inventory software (Fishbowl).
  • Conduct regularly scheduled cycle counts as assigned by supervisor in accordance with inventory standard operating procedures to ensure inbound receiving accuracy, inventory integrity, and order fulfillment process. Responsible for notifying supervisor of any discrepancies and ensuring strong controls.
  • Under the direction of supervisor, research inventory variances, identify root causes and clearly communicate all significant inventory changes to supervisor to resolve inventory discrepancies in an efficient and timely manner.
  • Effectively communicate and interact with relevant departments to support best practices for inventory movement (receiving, distribution, internal transfers, kitting, etc.).
  • Monitor spoilage or damaged product and report to supervisor.
  • Perform regularly scheduled and ad hoc physical inventory counts as directed by supervisor for all USDA/TEFAP commodities and purchased product to support program accountabilities.
  • Perform regularly scheduled and ad hoc physical inventory counts as directed by supervisor for all donated product.
  • Assist supervisor in preparing and maintaining sound policy and standard operating procedures (SOP).
  • Under the direction of supervisor, track inventory levels and work with other departments to control the distribution of product correctly and in a timely fashion.
  • Maintain an understanding of food inventory and the product categories that determine how the food can be distributed. This includes, but is not limited to donated, grant-funded, and USDA commodity foods.

 Data Entry (30%):

  • Support and maintain inventory tracking, documentation and reports as directed by supervisor.
  • Process donor information and products into inventory software within 24 business hours of receipt.
  • Maintain a comprehensive understanding of inventory control system to effectively support the organizational operations.
  • Generate, complete, and submit accurate and timely inventory reports as directed by supervisor.
  • Assist supervisor with identifying inventory discrepancies and other issues; make adjustments as directed by supervisor.
  • Responsible for timely entering of Feeding America/Retail Recovery donation data into the MealConnect system.

Warehouse Associate (20%)

  • Assist in the warehouse as assigned by supervisor.
  • Handle product in a manner consistent with food safety procedures and organizational safety policies, and procedures.
  • Move loaded pallets safely throughout the warehouse whether coming in from deliveries or going out for distribution.
  • Build orders (consisting of about 50 – 80-pound boxes) correctly for network partner orders.
  • Manually stack and wrap pallets safely and correctly.
  • Complete paperwork on distributed items according to AACFB guidelines.
  • Inspect, count and/or weigh products distributed.
  • Maintain FIFO/FEFO with inventory, rotating pallets of stock as needed.
  • Maintain a safe and sanitary warehouse with OSHA and USDA standards.
  • Move product and inventory using various warehouse equipment.

Secondary/Non-Essential Duties and Responsibilities

  • Maintain an understanding of the AACFB’s programs and the network partner and neighbors we serve through those programs.
  • Other duties as assigned.                

Education, Experience, and Competency Requirements

  • An Associate’s degree and at least two years of experience with inventory control is required.
  • High proficiency with Microsoft Windows and Office programs with advanced MS Excel skills, including familiarity with creation and use of complex pivot tables, lookup functions, and other features for formatting, manipulating, and analyzing data.
  • Knowledge of warehouse safety and proper food handling procedures is desired. Food bank or warehouse experience is a plus.
  • Experience with inventory control concepts and techniques is required.
  • Experience with computer-based inventory control systems is required (Experience with Fishbowl inventory software a plus).Experience in stock inventory procedures, FIFO, preferred.
  • Experience safely operating warehouse equipment including manual pallet jack, electric pallet jack, double stacker, and/or forklift, preferred.

Employment Type, Compensation, Benefits, Work Hours

  • Non-Exempt; Full-Time
  • Hourly Wage: $19.47 – 25.51 per hour ($40,508 – $53,059 annualized salary); pay commensurate with experience

Work Environment and Requirements

  • The ability to stand for up to 8 hours at a time.
  • The ability to see details at close range (within a few feet of the observer). Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
  • Able to lift, carry and move materials weighing 25-80 pounds with or without accommodation.
  • Walking, standing, climbing, squatting, bending, lifting, kneeling, stretching and reaching both below the waist and above the head are all required physical aspects of the job.
  • Must be capable of weighing and counting items and transferring those results into a computer database.
  • Must be capable of spending extended periods of time entering data into a database; however, with the potential for frequent interruptions.
  • Must be able to periodically work in temperatures as low as -20 degrees in cold storage sites for short, safe periods of time. Employee will be going in and out of freezers and coolers with extreme variations in temperature. (Cold temperature gear will be provided to the Inventory Control Specialist to wear when working in the freezer and cooler areas of the warehouse.)
  • Employee may be exposed to spoiled food and sharp objects due to working with damaged product.
  • Must be able to work in environments with variable noise levels, lighting conditions and temperature variation and able to access all areas of building without limitations.
  • Able to move, push, load, and unload pallets using a manual or electric pallet jack.  There will be times when an electric jack will not suffice, and employee must be able to use manual pallet jacks and therefore requires an ability to push and pull pallets over 2,000 pounds.
  • Must be able to work around cleaning chemicals, for example, chlorine and sanitizer.
  • Ability to hear, understand, and distinguish speech and/or other sounds (e.g., machinery alarms, or other alarms) in moderate to loud work environments.
  • Work performed in the warehouse involves a significant amount of walking on concrete surfaces.
  • Entrance may be open and working conditions during the summer can get hot and get cold during the winter.
  • Must have reliable transportation. 
  • Must be punctual, dependable, and reliable – excellent attendance is crucial.  
  • Criminal background check is required, and references/previous employment history will be validated.
